Article 3. Qualifying examinations

3.1. General Provisions

In the Department of Performing and Digital Arts, the procedure is carried out in accordance with the provisions of the ministerial decision no.: F.2/121871/B3/3-11-2005 "Classification of graduates in Higher Education", as amended by the ministerial decisions no.: F.2/125186/B3/22-11-2006, F.2/63260/B3/15-6-2007, F.1/192329/B3/13-12-2013 and 92983/Ζ1/11-06-2015 (Government Gazette 1329 vol. B'/02-07-2015) and the law no. 4485, article 74 par. 3 (Government Gazette 114/4-8-2017). Qualifying examinations are held every year, in December. Candidates are examined in three courses and the syllabus is announced by the Temporary Assembly of the Department and is valid only for the specific academic year. Both the courses and their syllabus can change from year to year. The percentage of classifications in the Department of Greek or foreign graduates (recognized by DOATAP), Universities, ATEI or equivalent, and ASPETE, as well as holders of degrees from higher schools of more than two and two-year courses of study under the competence of the Ministry of Education, Research and Religious Affairs and other Ministries, is set at a rate of 12% of the number of admissions in each academic year. If the number resulting from the prescribed percentage of rankings has decimal places, it is rounded up or down to the nearest whole unit. If the decimal places are exactly half of the unit, the rounding is done upwards to the next whole unit. Distribution of the above percentage according to the origin of the candidates for graduate classification or redistribution of any remaining percentage to other categories of transfers or classifications is not allowed. Exceeding the percentage of classifications is not allowed. The selection of candidates for graduate classification is made exclusively through qualifying examinations with development issues in three subjects, as specifically defined in the Internal Regulation of the relevant HEI. In the selection of candidates through examinations, the transparency and integrity of the process is ensured. It is not allowed to select candidates who are equal to the last classified in the receiving Department as supernumerary.

3.2. Supporting documents – Time of examinations

The qualifying exams are held between 1 and 20 December of each academic year. The examination schedule is announced by the Temporary Assembly of the Department at least eight (8) days before the start of the examination of the first course. The application and supporting documents of graduates who wish to enlist are submitted to the Department of Performing and Digital Arts from 1 to 15 November of each academic year. Applications and supporting documents submitted before the aforementioned date are considered to have been submitted on time and do not require resubmission.

These supporting documents are as follows:

a) Application of the interested party.

b) Copy of degree or certificate of completion of studies. In case the degree grade is not numerically indicated, the candidate must also submit a certificate, which details the grades of the courses required to obtain the degree grade. In the case of foreign graduates, a certificate of equivalence of their degree is also submitted by the Interdisciplinary Organization for the Recognition of Academic Titles and Information (D.O.A.T.A.P.) or by the body responsible for the recognition of the degree.

3.3. Procedure for selecting the subjects to be examined

The members of the Qualifying Examinations Committee arrive two (2) hours before the start of the examination of each examined subject at the examination venue. The two members of the Committee who teach the subject or related subject examined each time jointly propose at least six (6) topics and the Committee selects three (3) of them. Then follows a draw for the selection of one (1) topic for each examined subject. The subject drawn is recorded in electronic form, reproduced and distributed to the examinees.

3.4. How to conduct qualifying tests

1) In the rooms where the qualifying exams will be held, all appropriate measures are taken for their fair conduct. At the entrance of each examination room, a list of candidates is posted.

2) For the verification of the identity of each candidate, he/she must present a police identity card or other official public document certifying his/her identity.

3) On the first day of the examinations, candidates are required to be at the examination site one (1) hour earlier. On other days, they are required to arrive half an hour (30 minutes) earlier.

4) Colored inks, other than blue and black, and any other identifying element in the written essay exclude the script from grading.

5) Any candidate who leaves the room, submits his/her script and has no right to return to continue the examination. Exceptionally, for health reasons, a short leave of the room is allowed and only accompanied by an invigilator.

6) The candidate is not allowed to enter the examination hall with books, notebooks, notes or other items other than those allowed according to the instructions of the Qualifying Examination Committee. To the person who refuses to hand over the prohibited items, the invigilator who controls the attendance of the candidates prohibits entry. The examinee who has with him/her notes related to the examined course or subject other than those allowed or copies or attempts to copy or uses any kind of means of interception or complicates in the commission of such acts is completely excluded from the examinations of the specific course. In case the candidate mentions inappropriate expressions in the essay, his/her essay is excluded from the scoring process. In any case, candidates are not allowed to bring with them mobile phones or electronic devices of any form. The candidate who deceives in any way or obstructs the smooth conduct of the examinations by disobedience or disorder is excluded from further examination in the specific course.

7) In the written essay, the indications with the personal details of the candidate are checked by the invigilators and covered by the candidate himself/herself under the responsibility of the invigilators in an absolute and non-transparent manner, at the time each written essay is delivered.

8) The invigilators carry the written essays of the candidates and hand them over to the Qualifying Examination Committee which is responsible for their safety. It is not allowed to deliver the essays to the two markers at the same time or to the second marker before the grade of the first marker has been covered. The mark is covered by an official appointed by the Qualifying Examination Committee.

9) The duration of the examination of each course, as well as any material that the candidate should have for the examination, are determined by the Temporary Assembly of the Department and are announced five (5) days before the examination.

10) Re-examination or revision of the written essays of the candidates is not allowed. The written essays of the candidates are kept in the archive of the Department after the examinations, in which case under the responsibility of the Temporary Assembly of the Department they are destroyed after the relevant minutes at least one (1) year after the announcement of the results.

12) A brief remark on the exclusion and the indication zero (0) instead of a grade is written on the written essays of those who were excluded in one or more courses.

3.5. Scoring – Order of success

The Provisional Assembly of the Department appoints two raters and one re-rater for each course examined, who are faculty members of the same Department. Of the two raters, either they must teach the course under examination, or one of the two must teach it and the other must teach a related subject. The re-rater must teach the course under examination. The grading scale is set from zero (0) to twenty (20) for each grader. The grade of each course is the average of the sum of the marks of the two raters. A written essay in which there is a difference between the grades of the two raters, equal to or greater than six (6) points, is evaluated by the re-rater. The grade of the course to be re-graded is defined as the average of the sum resulting from the score of the re-rater and the grade closest to this score of the first or second grader. The order of success of the candidates is determined by the sum of the marks of all the subjects examined. This order includes those who have obtained a total score of at least thirty (30) points and provided that they have obtained at least ten (10) points in each of the three subjects examined. The ranking is done in descending order of grades, until the prescribed percentage is reached. If there are more candidates with the same total score, in order to avoid exceeding, the degree grade of the candidates who are tied is taken into account. Although the degree grade is exactly the same, a draw is made between the equivalent candidates. It is not allowed to select candidates who are equal to the last candidate classified in the receiving Department as supernumerary.

3.6. Exemption from courses

The semester of classification of graduates in a Department cannot be longer than the 5th semester. By decision of the Provisional Assembly of the host Department, the classified students are exempted from the examination of courses or exercises of the study program of this Department that were fully or adequately taught in the Department or School of origin. By the same decision, the classified students are obliged to be examined in courses or exercises, which according to the curriculum are considered not to have been fully or adequately taught in the Department or School of origin. In any case, the classified students are exempted from the examination of the courses in which they were examined for their classification, if these courses correspond to courses of the Department's Curriculum.
